1. Who we are

2. Scope

This policy applies to personal data processed by Azula Designs in connection with its website content, client inquiries, proposals, service delivery, and related communications across Indonesia and international markets. It is designed to meet requirements under Indonesia’s UU PDP (Law No. 27 of 2022) and to reflect comparable global principles when serving overseas clients. Where other local laws apply in a client’s jurisdiction, Azula Designs will consider those obligations alongside the UU PDP framework.

3. Data collected

Data provided directly: name, email, phone/WhatsApp, project details, preferences, and messages submitted via contact channels or during consultations and proposals.

 

Service data: scope, style preferences, site information, furniture specifications, logistics details for global delivery, and related correspondence needed to fulfill design and export services. Optional marketing data: newsletter or updates preferences when expressly requested or consented to in line with UU PDP consent rules.

4. How data is used

To respond to inquiries, assess project needs, and prepare proposals or quotes for interior, landscape, and custom furniture services. To deliver services, coordinate production and logistics for furniture exports, and manage ongoing client communications and support worldwide. To improve offerings and communications and, where consented, send updates about services, projects, or showroom tours and related opportunities.

5. Legal bases

Processing relies on one or more bases under the UU PDP, including consent, contract performance or steps prior to contract, legal obligations, vital interests, public tasks, and legitimate interests, as applicable to the specific processing activity. Consent is obtained where required and may be withdrawn, and non‑consent does not affect unrelated services unless consent is necessary for that processing. Where legitimate interests are used, processing is proportionate and balanced against data subject rights under the UU PDP.

 

6. Cookies and tracking

Azula Designs may use cookies or similar technologies for website functionality, performance, and service improvement, applying the UU PDP’s principles of transparency, purpose limitation, and data minimization. Where consent is required for non‑essential cookies or tracking, consent will be sought and can be withdrawn in accordance with UU PDP requirements. Information about cookie types and choices will be made available through notices consistent with UU PDP’s consent and transparency standards.

7. Sharing and processors

Data may be shared with trusted service providers under contractual obligations to support design services, furniture production, logistics, communications, IT hosting, and administrative tasks, limited to what is necessary for those purposes. Processors must follow Azula Designs’ instructions and implement appropriate security and compliance with the UU PDP, with responsibility remaining with the controller under Indonesian law. Data will not be sold, and disclosures to third parties occur only under lawful bases or as required by law or competent authorities.

8. International transfers

Because Azula Designs serves clients globally and exports custom furniture worldwide, personal data may be transferred outside Indonesia to enable international services and logistics. International transfers will follow UU PDP requirements, considering exterritorial reach and safeguards appropriate to the destination and the nature of processing. Where applicable, Azula Designs will implement contractual and organizational measures to protect transferred data consistent with UU PDP principles.

9. Data retention

Personal data is kept only as long as necessary for the purposes described above, including legal, accounting, or reporting requirements, in line with storage limitation principles. Retention periods reflect service timelines, warranty or after-service needs, and applicable compliance obligations, before data is securely deleted or anonymized. Records related to consent or opt‑out requests may be retained to demonstrate compliance with UU PDP obligations.

10. Data subject rights

Under the UU PDP, data subjects have rights, including the right to access, rectify, erase, restrict or delay processing, object to certain processing (including automated decisions), withdraw consent, and request data portability in applicable contexts. Additionally, data subjects have the right to lodge a complaint and pursue compensation claims in the event of violations. Requests to exercise rights can be made using the contact information below; Azula Designs will respond in accordance with UU PDP procedures and timelines. Certain rights may be limited by legal obligations, overriding interests, or technical feasibility consistent with UU PDP provisions.

11. Security

Azula Designs implements appropriate administrative, technical, and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or loss, aligned with UU PDP integrity and confidentiality principles. Access to personal data is restricted to personnel and processors with a need to know and subject to duties of confidentiality and compliance. Incident handling and breach notifications will follow applicable UU PDP requirements, including notifications to authorities and affected individuals where mandated.

12. Children’s data

Services are intended for adult clients and business representatives, and personal data of children is not knowingly collected without appropriate authorization consistent with applicable law. If children’s data is processed in the context of a client project, consent and safeguards will reflect UU PDP standards and the best interests of the child principle where relevant. Requests to delete inadvertently collected children’s data will be honored consistent with UU PDP rights and obligations.

13. Your choices

Individuals can choose not to provide certain data; however, this may limit the ability to receive proposals or services where such data is necessary for the requested work. Marketing communications will be sent only with an appropriate lawful basis, and recipients can opt out at any time through the provided channels, without affecting core service communications. Cookie preferences can be managed consistent with UU PDP consent requirements where applicable.


14. Marketing communications

Azula Designs may send a one‑off introductory or service‑related email to contacts who requested a quote, consultation, or otherwise engaged in a pre‑existing business context, and each message will include a clear and effective unsubscribe mechanism honored without undue delay. Ongoing promotional newsletters and campaigns will only be sent with prior opt‑in consent, unless a valid existing‑relationship basis with easy opt‑out clearly applies to closely related services, with withdrawal available at any time. Where consent is withdrawn, it affects only future communications and does not impact the lawfulness of prior processing.

15. Legal basis

Marketing processing relies on consent for newsletters and similar promotions, and on contract or legitimate interests for narrowly tailored service‑related introductions that are necessary and proportionate, subject to the right to object and immediate opt‑out. Under the PDP Law, consent must be explicit and recorded, can be provided electronically, and should follow clear notice in Indonesian (bilingual formats are acceptable) before marketing begins. All marketing uses of personal data require a lawful basis under the PDP Law and must respect data subject rights, including withdrawal of consent and objection to certain processing.

16. Opt‑out details

Every marketing email will identify the sender, state the purpose, and provide a prominent one‑click unsubscribe or equivalent mechanism that is processed promptly, with suppression lists maintained to prevent future sends to opted‑out contacts. Unsubscribing from marketing does not affect transactional or service communications that are necessary to perform a contract or provide requested services. Azula Designs will document and honor opt‑out requests without charge and as soon as practicable, consistent with PDP Law principles and recognized best practice.

17. Cold outreach policy

Azula Designs does not send unsolicited bulk promotional emails to individuals without a lawful basis; for contacts with no prior relationship, promotional emails are sent only after opt‑in consent is obtained. Introductory emails are restricted to contexts where a prior inquiry or engagement exists and the content is directly relevant to that relationship, and they always include a working opt‑out. Where no such context exists, consent is required before sending any marketing communications to comply with the PDP Law’s lawful‑basis requirement.

18. Transparency and records

Introductory and marketing emails will, where feasible, disclose how contact details were obtained and link to this Privacy Policy to support transparency and consent withdrawal. Azula Designs keeps records of consents, relationship context, notices provided, and opt‑out actions to demonstrate accountability under the PDP Law. These practices align with Indonesian guidance on direct marketing, legal bases, and unsubscribe mechanisms for electronic communications.

19. Changes to this policy

This policy may be updated to reflect service changes, legal developments, or operational needs, maintaining transparency required by UU PDP. Material changes will be communicated through appropriate channels and will apply from the effective date stated in the notice. Continued use of services after updates indicates acknowledgment of the revised policy, subject to consent requirements where applicable.
